Inviting and removing trainers both live in the Trainers tab and both are owner actions. The part most owners want answered is the last one: when a trainer leaves, the members your gym brought in stay with your gym, and Marrow will not let you remove that trainer until you say who picks them up.
Invite them from the Trainers tab
Open Trainers in the gym console and hit Invite a trainer.
- Enter their email.
- Pick their role. Head trainer, staff trainer, or contractor.
- Send it.
They get an emailed invite with a link. They open it, finish a short setup, connect their payout details, and they appear on your roster.
Only the owner can invite. A manager running the console day to day will be told to ask you, which is deliberate. Adding somebody to the roster is an owner decision.
The console gives you the link to send yourself
Invite emails land in spam sometimes, and occasionally the send fails outright. When that happens the console shows you the raw invite link.
Copy it and send it to your trainer however you normally reach them. The link works exactly the same.
Owner only, and it asks you to confirm
Find the trainer on your roster and hit Remove. The action only shows on active trainers.
You will be asked to confirm. That is a guard against a mis-click on a screen where a mis-click costs you a person.
Like inviting, only the owner removes a trainer.
Your gym keeps the members your gym brought in
This is the whole reason the gym console exists, so we will be precise about it.
A member who signed up while that trainer was on your roster belongs to your gym. When the trainer goes, those members stay. That is enforced in the data itself, not by a policy we promise to follow.
Clients that trainer already had before they joined you, or brought in independently, go with them. That is theirs and we do not take it.
The trainer keeps their own Marrow coach account either way. Removing them takes them off your roster. It does not close their account.
You have to name who picks up their members
If that trainer still has gym members on their list, Marrow refuses the removal and tells you so. It will not strand a member with nobody.
Pick another trainer in the Move their athletes to dropdown and confirm. Every member transfers and the trainer comes off your roster in one motion. There is no half-finished state where some members moved and some did not.
A moved member keeps paying the old trainer for now
Worth knowing before you move anyone, because it surprises owners.
When a member moves to a different trainer, the coaching moves right away. The existing payment does not. That member's subscription stays on the original trainer's connected account through the period they have already paid for.
The training changes hands immediately. The billing catches up at the end of that period. If you need it handled sooner, tell us and we will sort it with you.
Tell us when your roster changes
Your seat count was set when your subscription started. Adding or removing a trainer in the console does not reprice that subscription on its own.
So when your roster genuinely changes, send us a note and we will make the seats match what you are running. We would rather you paid for the floor you actually have.
